Service Coordinator & Office Wizard - Auckland

Full-time or Part-time (minimum 25 hours per week)

About the Role

Team Cabling is looking for an experienced, organised and proactive Service Coordinator & Office Wizard to become a key part of our team.

This is a varied role for someone who enjoys keeping things moving, coordinating service jobs, communicating with customers, supporting our field team and making sure the day-to-day office operations run smoothly.

You’ll be the central point of coordination for our service work, taking jobs from initial enquiry through to completion and invoicing. Alongside this, you’ll provide practical administrative support across the wider business.

The role can be structured as either part-time or full-time for the right candidate.

What You’ll Be Doing

  • Coordinate service jobs from initial enquiry through to completion and close-out.

  • Schedule and track jobs, keeping technicians and customers informed along the way.

  • Act as the first point of contact for service enquiries and provide friendly, professional customer support.

  • Maintain accurate job records and ensure job statuses and documentation are kept up to date.

  • Prepare and process service invoices and assist with service agreements.

  • Follow up with customers after completed work to ensure they’re happy with the service provided.

  • Provide general administration and operational support across the business.

  • Manage office supplies and help maintain an organised, efficient and welcoming workplace.

  • Coordinate the company vehicle fleet, including servicing and maintenance schedules, registrations and Road User Charges (RUC).

  • Identify opportunities to improve administrative processes and help keep the business running efficiently.

About You

We’re looking for someone who is capable, dependable and comfortable taking ownership of their work.

Ideally, you’ll bring:

  • 5+ years’ experience in service coordination, administration, office management or a similar role.

  • Excellent organisational, time-management and prioritisation skills.

  • Strong written and verbal communication skills.

  • Confidence dealing with customers, suppliers and team members.

  • The ability to manage multiple jobs and priorities without losing track of the details.

  • A proactive approach — you’re comfortable identifying what needs to be done and getting on with it.

  • Strong computer skills and confidence learning new systems.

  • Experience with MYOB and/or SmartTrade is an advantage.

  • Previous invoicing experience and a good understanding of basic accounting principles would be beneficial.

  • Experience working in a trade, electrical, construction or service-based business would be an advantage, but isn’t essential.
