About the role: Come as you! | Nau mai
The Grants Assistant will support the full grants lifecycle and provide day to day administrative support. You will be the first point of contact for many community groups, offering clear guidance, friendly support, and responsive communication. You’ll also help keep our systems running well and ensure our internal teams have the information and structure they need to make sound decisions.
What you will be doing:
Providing warm, professional support to community organisations engaging with the Foundation.
Assisting applicants with online forms, policies and guidelines, and ensuring every interaction is clear and supportive.
Reviewing, registering and monitoring applications in line with Toi Foundation’s policy.
Supporting grant meetings, including pre work, post meeting admin and minute taking.
Assisting with Fluxx grant system activity and wider business operations tasks.
Organising meetings, appointments and contributing to general office and reception duties.
Working collaboratively with the wider team and supporting special projects as required.
This is a part-time role (0.5 FTE) with flexibility around working days and hours. There is also scope for the position to grow into a full time opportunity over time.
The ideal Grants Assistant:
Strong administration or office support experience, ideally within community, not for profit or business environments.
Confident IT capability across Outlook, Word, Excel and online systems.
Ability to stay organised, manage competing priorities and adapt to changing needs.
High attention to detail and strong follow through.
Excellent customer service skills and a genuine commitment to positive stakeholder experiences.
Confident communicating with people from all walks of life.
A friendly, adaptable approach and willingness to pitch in where needed.
Ability to work independently and take initiative.
Cultural competence and genuine openness to learning and incorporating te reo Māori into daily work.
A full, clean driver’s licence (non-negotiable).
A genuine connection to the Taranaki region.
