Harcourts Reforma is an already established, high-performing and award-winning property management office in Papakura. We are now launching an exciting new real estate office in Ellerslie.

We are looking for a proactive and highly organised Sales Administrator / Office Manager to play a key role in bringing this vision to life. About the role

This is a central position within the business, supporting both the operational and sales functions of the office and you will be the first point of contact based at our front desk/reception.

You will be responsible for ensuring everything runs smoothly behind the scenes while delivering a professional and seamless experience for clients and the team.

No two days will be the same, and your contribution will be key to the success of the office.

Key responsibilities

Sales administration

• Manage end-to-end administration of property listings

• Upload and maintain listings across CRM systems and platforms such as Trade Me and realestate.co.nz

• Prepare and process Sale and Purchase Agreements and supporting documentation

• Coordinate deadlines, multi-offers, and conditional timelines

• Maintain accurate and up-to-date sales files

Marketing and campaign coordination

• Coordinate marketing campaigns across digital, print, and social channels

• Liaise with photographers, designers, and media suppliers

• Prepare and proof marketing materials and listing content

• Manage signboards, brochures, and campaign timelines

Client and agent support

• Act as a key point of contact for vendors, buyers, and solicitors

• Support agents with day-to-day administration

• Prepare listing presentations, appraisal packs, and reports

• Assist with open homes, auctions, and campaign milestones

Office management

• Oversee the day-to-day operations and presentation of the office

• Manage office supplies, systems, and general organisation

• Coordinate meetings and training sessions

• Support onboarding of new agents and team members

• Manage key handling in line with company processes

• Ensure a professional and welcoming environment

Compliance and file management

• Ensure documentation meets company and regulatory requirements

• Maintain audit-ready files in line with industry standards

• Support AML and internal compliance processes

• Monitor accuracy and completeness of all sales documentation

About you

  • Previous real estate administration experience is preferred

  • Highly organised with strong attention to detail

  • Able to manage multiple priorities in a fast-paced environment

  • Strong written and verbal communication skills

  • Confident using CRM systems and Microsoft Office

  • Proactive, solutions-focused, and takes ownership

  • A team player who enjoys supporting others
