About The New Zealand Society of Cosmetic Medicine (NZSCM)
NZSCM is a small, member focused professional society supporting doctors that practise cosmetic medicine across New Zealand. We deliver education, training, conferences, ongoing professional support, and play an important role in maintaining standards across this specialty.
About the role:
We are looking for an organised and proactive Administration Assistant to support the day to day running of the Society. This is a varied role combining administration, communications, social media, and event coordination. A key part of the role involves supporting NZSCM workshops, conferences and member events, helping ensure everything runs smoothly behind the scenes.
This is a flexible, hybrid, part time role (approximately 0.4 FTE / two days per week). Some evening or weekend work is required to support NZSCM events, including approximately eight workshops per year plus the annual conference and Anatomy Weekend.
Working closely with the Operations, Administration and Engagement Support Officer you will:
Manage NZSCM social media channels, including scheduling content, drafting posts, and monitoring engagement.
Support member communications and promote NZSCM events, workshops, and announcements.
Assist with organising and delivering workshops and training events, including venues, materials, and logistics.
Support the planning and delivery of the NZSCM annual conference and other events.
Liaise with sponsors, members, and suppliers to support event delivery.
Provide administrative support including meeting coordination, agendas, minutes, and follow up actions.
Assist with monitoring advertising complaints and maintaining related documentation.
Support general administration including database updates, membership administration, and invoicing.
Maintain accurate records.
Handle sensitive information with confidentiality.
The ideal Administration Assistant:
You are organised, detail focused and comfortable managing multiple priorities. You enjoy working with people and take pride in keeping things well coordinated. You will bring:
At least two years' experience in administration, events, communications or a similar role
Experience managing social media platforms and scheduling tools
Strong written and verbal communication skills
Familiarity with Canva would be advantageous
Excellent organisational skills and attention to detail
Confidence using Microsoft Office and digital systems
The ability to handle confidential information with professionalism and discretion
Familiarity with Monday.com would be a plus
